technical regulations

Anyone can enter the GV Cartel Club Series, however only Greenvalleys Club members can qualify for the KingPin Series points

 

Age Group Calculation

Age determination day is December 31 of the current racing year, meaning how old you are at the end of the year determines which category you can race.

​

If you are between 19 and 70 years old you can choose whether you race Elite or your allocated category . 

 

Race Rules

  • Riders get 1 (One) timed race run  on their respective category trails (stages) 

  • u13 categories will get 3 trails (stages)

  • All other categories race 4 trails (stages)

  • The riders quickest time on each trail (stage) will be combined for a result

  • Riders must set a time on all 4 trails to qualify for podium

  • No short cutting the track even if it is not bunted.

  • Race numbers must be displayed on the handlebars of the bicycle. The number plate must be readable, so it must be fastened as flat as possible. Altering, cutting or placing of unauthorised sponsors’ logos on numbers will result in a penalty. You can keep your number plate as a memento of your race.

  • Riders must register before they will be allowed to race

  • All riders must wear an Australian Standards (or approved international standard) Full Face helmet at all times when riding and racing. You will be required to wear fully enclosed foot wear and gloves are recommended.

  • For U17, U15 and U13 Categories, full finger gloves/full length jersey/knee pads/elbow pads are mandatory

  • Outside assistance is only allowed in the Technical / Feed Zone

  • You must be present or be represented at the ceremony at the end of the race to claim your awards.

  • No garbage policy: please don’t litter out on the track. 

  • No cheating policy: you must follow the track. It will be clearly marked with arrows, bunting tape, flags and signs. If we see you cheating, you will not be allowed to participate

  • Rider down procedure – if you come to an accident out on the track you MUST stop and make sure the rider is ok. If he/she is not, stay with him/her and send the next rider straight back to the event centre to let us know what happened. If you lose time while helping an injured rider we will give you another race run.

  • If a race is deemed unsafe because of storm, rain, fire or wind we will pause it, assess the situation and if possible restart it again later.

  • Passing: being friendly out on the track goes a long way. Let the rider you are about to pass know when and on which side. E.g. “rider coming up, passing on your right when you are ready”. Then say thanks and keep on pinning.  If you are being passed find the next best place to move to the side and let them pass.

Equipment, Marking, stickers

  • Only one frame, fork and one pair of wheels can be used by a competitor during a race. The
    organiser may elect to mark one or more of the below components with an official seal or marker:

 - Fork Crown
- Swingarm / Rear triangle
- Front triangle
- Both wheel rims

  • Competitor’s bikes may be checked for marking at the start of the race and at the finish of every 
    Special Stage. Other random checks of stickered equipment will be carried out throughout the race.

  • A rider can use unmarked equipment during training unless otherwise stated by the organiser.

  • Only upon approval of the Commissaires, a rider may replace a frame, fork or wheel.

  • Following the repair, the rider must return to the Commissaires to have the replacement part(s)
    re-marked before re-joining the race.

  • A 5-minute penalty will be awarded to every rider who, having received approval by the
    Commissaires, replaces the equipment listed above.

  • Any rider found to have replaced a named/marked part without consent from the Commissaires will be disqualified (DSQ).

mechanical failures

  • A technical assistance zone can be provided by the organiser. Outside technical assistance is only
    allowed in this area.

  • Only one frame, one front fork and one pair of wheels can be used by a competitor during a
    competition. Frame, fork and wheels may be individually marked by the officials before the start
    of the race and checked at the finish. Broken parts can eventually be replaced upon approval with
    a 5 min penalty if approved by race official.

liason stage delay / missed start

  • Riders arriving late to the start must follow the starter’s orders and join the course when instructed to do so

  • Failure to follow starter’s orders will result in a time penalty

  • Any riders arriving at the start of a Special Stage later than 30 minutes after their specified start time will be disqualified from the race.

illegal outside assistance

  • Any competitor receiving outside assistance from a non-racer without prior agreement from the
    Commissaires will be disqualified. This includes using team staff/outside help to carry equipment
    around the course or perform repairs during the race.

e bike regulations

  • There will be no technical restrictions on batteries as we believe technology needs maximum  opportunity to innovate and grow and it’s  already moving at a very fast rate

  • All bikes must be limited to AUS regulations for e-bike/pedelec (25kmph)

  • Walk function allowed but only in factory settings

  • All E bikes will be scrutinized before racing

Cancellations, refunds & change of name

Cancellation of race by GV MTB Club:

Greenvalleys Mountain Bike Club reserves the right to cancel or postpone the event at any time. This includes up to and after commencement of the event, if the conditions are deemed unsafe to run, or for reasons beyond GV MTB Club’s control.

 

GV MTB Club will provide full refunds for the cancellation of an event, if this call is made prior to the commencement of first practice.

 

If conditions do warrant the postponement of the event, Greenvalleys Mountain Bike Club will endeavour to set an alternative date, where entry fees and registration details will be transferred to the new date.


If a rider is unable to participate on the alternative race date, there is a 48 hour notice period to inform us and receive a full refund, after that, standard cancellation fees apply in relation to the new date (as below).

 

Race Fee Refunds:

Please note: We unable to offer credits or transfers under any circumstance.

We can only offer refunds and registration transfers to another rider; in the event you are unable to attend.

 

All refund requests must be made via email prior to the scheduled refund cut-off dates as outlined below.

 

  • up to 14 days before the event: 80% of fees paid

  • up to 7 days before the event 50% of fees paid

  • less than 7 days before the event: 0% of fees paid

 

Greenvalleys Mountain Bike Club cannot accept responsibility for changes to work commitments or personal circumstances (including illness and injury) within this 14-day period. GV MTB Club will not provide refunds/credits or transfers if a rider injures themselves at the event and are unable to race.
GV MTB Club will accept a transfer of the registration to another member, provided the event registration change of name procedure is adhered to:

 

Registration transfer/change of name procedure:

Change of name can be initiated no later than 3 days prior to the race (i.e. if the race is on the Sunday, the request must be initiated by 6pm Thursday prior), with the following 24hrs to complete the request in full.

 

Once you notify us of your inability to attend, you must also stipulate if you will be requiring a refund (as per the above time frames and rates), or if you intend on transferring your registration to another rider.

You then have 24 hours to provide us with the following information for the transfer:

The replacing rider MUST have:

  • Adequate and compliant gear to complete the race

  • A current AusCycling RACE licence (provide proof by attaching a screenshot)

  • Replacing rider must complete & sign the waiver, and attach all documents in the one email.  

 

If the name change is submitted within 7 days of the race, a $20 CASH ON THE DAY admin fee is required to be paid.

If the withdrawing rider received a GV club member discount, and the replacing rider is not a GV Club members, the discount difference is required to be paid in CASH ON THE DAY, including any other fees incurred (such as the prior mentioned).

 

All requests are treated as final, and once initiated, are unable to be altered due to change of mind.
